EXECUTIVE BOARD POSITIONS (Attend monthly meetings):
Set the direction for the local chapter, ensuring that it complies with the MOMS Club International mission and bylaws; work with the Board of Directors to develop, plan, and schedule events for the local chapter; prepare the non-financial portion of the annual report; lead monthly board meetings; complete monthly Presidential report, update newsletter distribution list and lead nominating process for the following year’s board.
Vice President — Administration
Work with the President to plan and schedule events; serve as a liaison with MOMS Club International; assist the President with her responsibilities as needed; coordinate annual service project.
Vice President — Membership
Respond to all membership inquiries and follow up as appropriate; welcome new members via email; maintain membership roster; coordinate new member coffees approximately twice a year; track membership renewal dates and notify members to renew; provide membership status updates to the President and Treasurer. Work with the Secretary to develop a Membership Directory.
Collect and disburse all funds for the chapter; prepare annual budget for submittal to board; ensure that chapter “party expenses” remain within 15% of annual dues; maintain financial records and prepare annual financial report; file e-postcard annually with the IRS.
Take minutes at the monthly board member meetings and email out to the board and coordinators. Prepare monthly newsletter and save as a draft for President to review and send out to all members the last week of the month. Post on Facebook once the newsletter has been sent out to remind members to look for it in their email. Work with the VP Membership to develop a Membership Directory.
COORDINATORS (not required to attend monthly meetings):
Coordinate catered brunches and luncheons (find host and hire caterer); organize babysitting at host's home. The Brunch Coordinator plans and schedules the event, manages the invitation and RSVP process, and serves as the group contact during the event.
The Kids Craft Coordinator plans approximately six kid-focused craft events each year, in alternating months from the kid-focused field trips. The Kids Craft Coordinator plans and schedules the event, manages the invitation and RSVP process, and serves as the group contact during the event. The typical rotation of kid crafts includes a pumpkin picking and painting craft, cookie decorating event, Valentine’s Day themed craft, Easter egg decorating/egg hunt event, etc. These craft events take place at local businesses, members’ homes, and our community recreation center.
Kids Field Trips
The Field Trip Coordinator plans six kid-friendly field trips each year, in alternating months from the kid-focused crafts. The Field Trip Coordinator plans and schedules the event, manages the invitation and RSVP process, and serves as the group contact during the event. The typical rotation of field trips includes a swimming day at the Glen Rock Pool, apple picking, library story time, indoor sports outings, a fire station tour, and make-your-own pizza night.
Meals for MOMS
Recruit volunteers and coordinate meal schedule for MOMS with new babies or special needs. This is organized through FoodTidings.com, a website for volunteers.
MOMS Night Out
Coordinate approximately 8 evening “moms-only” events. Events range from holiday parties at members houses to speaker series at off-site locations. The MNO Coordinator plans and schedules the event, manages the invitation and RSVP process, and serves as the group contact during the event.
Create playgroup schedule based on member input, then assign members to specific groups.
Maintain/update the MOMS Club website to reflect current activities, etc. Manage the online payment system for event registration, including setting up the product listings and communications with the treasurer and event coordinator.
